Time Proposals
The Time Proposals feature allows players to suggest alternative dates and times for events when the original time doesn't work for them. This guide covers how to enable, manage, and respond to time proposals.
Overview
Time proposals provide flexibility when scheduling events:
- Players can propose alternative times when RSVPing
- Organizers receive email notifications for proposals
- Organizers can accept or reject proposals
- Accepted proposals automatically update the event time
Enabling Time Proposals
When Creating an Event
- Fill in the event creation form
- Check the box: "Allow players to propose a new time/date"
- Complete the rest of the form
- Click "Create Event"
When Editing an Event
- Open the event details page
- Click "Edit" button
- Check/uncheck "Allow players to propose a new time/date"
- Click "Update Event"
When to Enable
Enable time proposals when:
- Event timing is flexible
- You want to accommodate player schedules
- You're open to alternative times
- You want to maximize attendance
How Players Propose Times
During RSVP
When a player receives an invitation for an event with time proposals enabled:
- Click RSVP Link
- Player opens the invitation link
- Sees event details and RSVP options
- View Proposal Option
- If time proposals are enabled, they see: "If this time doesn't work for you, you can propose an alternative time when you RSVP"
- A "Propose New Time" button appears
- Submit Proposal
- Click "Propose New Time"
- Fill in the proposal form:
- Proposed Date - Select new date
- Proposed Time - Select new time
- Message (optional) - Add any additional details
- Click "Submit Proposal"
Proposal Submission
- Proposals are submitted immediately
- Players receive confirmation
- Organizer receives email notification
- Proposal appears in event details
Updating Proposals
If a player already submitted a proposal:
- They can submit a new proposal
- The new proposal replaces the previous one
- Only one pending proposal per player per event
Receiving Proposal Notifications
Email Notification
When a player submits a time proposal, you receive an email with:
- Player Name - Who made the proposal
- Event Details - Original event information
- Proposed Date/Time - The alternative time suggested
- Message - Any additional notes from the player
- Action Buttons:
- Accept - Accept the proposal (updates event time)
- Reject - Decline the proposal
Email Actions
You can accept or reject proposals directly from the email:
- Click Accept button - Event time updates automatically
- Click Reject button - Proposal is declined, event time unchanged
Both actions can be done without logging into the application.
Reviewing Proposals
Event Details Page
- Open Event
- Navigate to Events
- Click on the event with proposals
- View Proposals Section
- Scroll to "Time Proposals" section
- See all pending, accepted, and rejected proposals
Proposal Information
Each proposal shows:
- Player Name - Who made the proposal
- Proposed Date/Time - The alternative time
- Message - Any additional notes
- Status - PENDING, ACCEPTED, or REJECTED
- Action Buttons - Accept/Reject (for pending proposals)
Accepting Proposals
From Event Page
- Open Event Details
- Navigate to the event
- Find the proposal in the Time Proposals section
- Review Proposal
- Check the proposed date and time
- Read any message from the player
- Accept Proposal
- Click "Accept" button
- Confirm the action
What Happens When Accepted
When you accept a proposal:
- Event Time Updates
- Event date changes to proposed date
- Event time changes to proposed time
- All players see the updated time
- Other Proposals
- All other pending proposals are automatically rejected
- Only one proposal can be accepted per event
- Notifications
- Proposer receives email confirmation
- Other players with pending proposals are notified (if applicable)
- Status Update
- Accepted proposal shows ACCEPTED status
- Event details reflect new time
From Email
You can also accept proposals directly from the notification email:
- Click the Accept link in the email
- Event time updates automatically
- You're redirected to confirm the change
Rejecting Proposals
From Event Page
- Open Event Details
- Navigate to the event
- Find the proposal to reject
- Reject Proposal
- Click "Reject" button
- Confirm the action
What Happens When Rejected
When you reject a proposal:
- Event Time Unchanged
- Original event time remains
- No changes to event schedule
- Proposal Status
- Proposal shows REJECTED status
- Remains visible in event history
- Notification
- Proposer receives email notification
- Informed that proposal was declined
From Email
You can reject proposals directly from the notification email:
- Click the Reject link in the email
- Proposal is marked as rejected
- Event time remains unchanged
Proposal Statuses
PENDING
- Proposal is awaiting your decision
- Shows Accept/Reject buttons
- Can be accepted or rejected
ACCEPTED
- Proposal was accepted
- Event time updated to proposed time
- Shows green ACCEPTED badge
- No further actions available
REJECTED
- Proposal was declined
- Event time unchanged
- Shows red REJECTED badge
- No further actions available
Best Practices
When to Enable
- Flexible Scheduling - When event time can be adjusted
- Low Attendance - To accommodate more players
- Player Feedback - When players request time changes
- Recurring Events - For regular events with varying times
Proposal Management
- Respond Promptly - Review proposals quickly
- Consider All Options - Evaluate multiple proposals if received
- Communicate - Use proposal messages to understand player needs
- Be Decisive - Accept or reject promptly to avoid confusion
Communication
- Clear Messages - Encourage players to add messages explaining their needs
- Timely Responses - Respond to proposals within 24 hours
- Set Expectations - Let players know if time proposals are typically accepted
Event Updates
- Notify Players - When accepting a proposal, all players see the updated time
- Check Conflicts - Ensure new time doesn't conflict with other events
- Update Details - Review event details after accepting proposals
Limitations
One Proposal Per Player
- Each player can have only one pending proposal per event
- Submitting a new proposal replaces the previous one
One Acceptance Per Event
- Only one proposal can be accepted per event
- Accepting a proposal automatically rejects all others
Time Restrictions
- Proposals must be for future dates
- No restrictions on how far in advance
Troubleshooting
Proposal Not Appearing
- Refresh the event page
- Check that time proposals are enabled
- Verify proposal was submitted successfully
Can't Accept/Reject
- Ensure you're the event organizer
- Check that proposal status is PENDING
- Try refreshing the page
Event Time Not Updating
- Refresh the event page after accepting
- Check that acceptance was successful
- Verify event details were saved
Email Not Received
- Check spam/junk folder
- Verify email notifications are enabled
- Check email address in settings
Multiple Proposals
- Review all proposals before accepting
- Consider which time works best for most players
- Accept the most suitable proposal
