Getting Started with PlayerPing


Welcome to PlayerPing! This guide will help you get started with managing your sports events and players.


What is PlayerPing?


PlayerPing is a comprehensive sports event management platform that helps you:

  • Manage your player roster (including VCF import and attendance stats)
  • Create and schedule events (including recurring series)
  • Send invitations via SMS, Email, or WhatsApp (WhatsApp coming soon)
  • Track RSVPs, waitlists, and responses
  • Chat with confirmed players
  • Rate players after events
  • Organize players into clubs
  • Group mixed-club players into teams for event invites
  • Group events into tournaments for combined results
  • Use AI roster recommendations (including WTN for tennis)
  • Automate workflows with the public API and agent skill

Creating Your Account


Step 1: Register


  • Navigate to the PlayerPing registration page
  • Enter your email address
  • Choose a secure password
  • Click "Register" to create your account

Step 2: Log In


  • Go to the login page
  • Enter your email and password
  • Click Sign in

If you forget your password, click Forgot password? on the login page to receive a reset link by email.


You'll be redirected to your dashboard after successful login.


Dashboard Overview


After logging in, you'll see the main dashboard with quick access to:


  • Manage Players - Add, edit, and organize your player roster
  • Upcoming Events - View and manage your scheduled events

The dashboard provides a central hub for all your event management activities.


Navigation Basics


Main Navigation


The top navigation bar includes:


  • Home - Return to the dashboard
  • Players - Access player management
  • Teams - Group mixed-club players for invites
  • Events - View and create events
  • Settings - Configure your account and preferences
  • Support - Get help and contact support

Mobile Navigation


On mobile devices, you'll see a bottom navigation bar with quick access to:

  • Home
  • Players
  • Teams
  • Events
  • Settings

Tournaments is in the account menu on phones, and in the desktop navigation. You can also open it from the Events page or the Dashboard.


Your First Steps


1. Add Players


Before creating events, you'll want to add players to your roster:


  • Click on "Manage Players" from the dashboard or navigate to Players in the menu
  • Fill in the player form:
  • Full Name (required)
  • Email (optional but recommended)
  • Phone Number (required)
  • Gender (Male/Female)
  • Sport (required)
  • Club (optional)
  • Click "Add Player"

2. Create Your First Event


Once you have players added:


  • Navigate to Events from the menu
  • Click "Create Event"
  • Fill in the event details:
  • Date and time
  • Location
  • Sport type
  • Required number of men and women
  • Optional: Select a home club
  • Optional: Select a team to limit who you can ping
  • Optional: Select a tournament if the event belongs to a competition
  • Optional: Enable recurring events (weekly / biweekly / monthly)
  • Optional: Enable time proposals
  • Click "Create Event"

3. Invite Players


After creating an event:


  • Open the event details page
  • Select players you want to invite (or use Fill this event)
  • Click "Ping Selected Players" to send invitations, or "Mark Unavailable" to record a known absence without notifying (does not count as invited/declined in Attendance Stats)

Understanding the Interface


Status Indicators


Throughout the application, you'll see various status indicators:


  • OPEN - Event is open for RSVPs
  • CONFIRMED - Event roster is full / confirmed (often automatic)
  • YES - Player confirmed attendance (green badge)
  • NO - Player declined (red badge)
  • PENDING - Player hasn't responded yet (yellow badge)
  • WAITLIST - Player is waiting for a spot
  • Series badge - Recurring event series

Player Ratings


Players may display star ratings (⭐) showing their average rating from past events. This helps you identify reliable players when organizing events. Tennis players can also show a linked World Tennis Number (WTN).


After an event, use Game Results to record scores for that sport — several tennis matches, a single football score, swim places, and so on.


Account Settings


Accessing Settings


Click on Settings in the navigation menu to access:


  • Credits - View your credit balance and purchase more
  • Notification Preferences - Configure SMS, Email, and WhatsApp settings
  • Push Notifications - Browser alerts for RSVPs and chat
  • API Keys - Create keys for the public REST API
  • Account security - Change your password
  • Danger zone - Permanently delete your account and data

Credits System


PlayerPing uses a credit system for notifications:


  • Email notifications - Free
  • SMS notifications - 1 credit per player
  • WhatsApp notifications - 1 credit per player (coming soon)

New accounts start with 50 credits. You can purchase more credits in the Settings page.
