General Questions


What is PlayerPing?


PlayerPing is a sports event management application that helps organizers manage players, create events, send invitations, and track RSVPs. It supports multiple sports and provides tools for efficient event organization.


How do I create an account?


  • Navigate to the registration page
  • Enter your email address
  • Choose a secure password
  • Click "Register"

Is PlayerPing free to use?


PlayerPing is free to use for basic features. However, SMS and WhatsApp notifications require credits:

  • Email notifications - Free
  • SMS notifications - 1 credit per player
  • WhatsApp notifications - 1 credit per player (coming soon)

New accounts start with 50 free credits.


What sports are supported?


PlayerPing supports many sports including:

  • Soccer, Basketball, Tennis, Volleyball
  • Baseball, Softball, Hockey, Rugby
  • Cricket, Badminton, Table Tennis, Swimming
  • And more (select "Other" for additional sports)

Player Management


How do I add players?


You can add players individually or in bulk:

  • Individual: Use the "Add New Player" form
  • Bulk Import: Use "Import Players" with contact picker or paste

Can I import players from my contacts?


Yes! Two methods are available:

  • Native Contact Picker (Android) - Select directly from device contacts
  • Paste Contact List - Paste contacts from any source

How do I edit a player?


  • Find the player in the player list
  • Click the pencil icon (✏️)
  • Make your changes
  • Click "Update Player"

Can I delete players?


Yes, click the trash icon (🗑️) next to a player and confirm deletion. Note: This will also remove their event responses.


Events


How do I create an event?


  • Navigate to Events
  • Click "Create Event"
  • Fill in event details (date, time, location, sport, required players)
  • Click "Create Event"

Can I edit an event after creating it?


Yes, open the event details page and click "Edit". You can modify all event details including date, time, location, and required players.


What happens if I delete an event?


Deleting an event removes:

  • All player responses
  • All time proposals
  • All ratings associated with the event

This action cannot be undone.


How do I know if an event is full?


The event details page shows roster status:

  • Men: X / Y - X confirmed out of Y required
  • Women: X / Y - X confirmed out of Y required

When both numbers match requirements, the event is full.


How do AI recommendations work?


In Select Players to Ping on the event details page, click AI Recommendations. You can optionally add context (e.g. "Prefer reliable players", "Need strong defenders"). The AI suggests players based on star ratings, past feedback comments, and response status. The top suggested players are highlighted with an AI badge and short reasoning. You can still select or deselect anyone. See Event Management for full details.


Invitations & RSVPs


How do I invite players to an event?


Two methods:

  • Individual Invitations - Select players and click "Ping Selected Players"
  • Broadcasting - Click "Broadcast to Club" to invite all club members

Use AI Recommendations (in Select Players to Ping) to get suggested players based on ratings and feedback. See Event Management for details.

How do players RSVP?


Players receive an invitation link via email/SMS/WhatsApp. They click the link and select YES or NO. Responses are saved immediately.


Can players see other players' responses?


No, players only see their own response status. Organizers can see all responses on the event details page.


What if a player doesn't receive an invitation?


  • Check notification settings are enabled
  • Verify player contact information is correct
  • Check spam/junk folders for emails
  • Ensure you have credits (for SMS/WhatsApp)

Time Proposals


What are time proposals?


Time proposals allow players to suggest alternative dates/times for events when the original time doesn't work for them.


How do I enable time proposals?


When creating or editing an event, check "Allow players to propose a new time/date".


How do I accept or reject a proposal?


  • From Event Page: Open event, find proposal, click Accept/Reject
  • From Email: Click Accept/Reject links in notification email

What happens when I accept a proposal?


  • Event date/time updates to proposed time
  • All other pending proposals are rejected
  • Proposer receives confirmation email
  • All players see updated event time

Credits & Notifications


How do credits work?


Credits are used for paid notifications:

  • Email - Free (0 credits)
  • SMS - 1 credit per player
  • WhatsApp - 1 credit per player (coming soon)

How do I purchase credits?


  • Go to Settings
  • Select a credit package
  • Complete payment through Stripe
  • Credits are added automatically

How do I check my credit balance?


Go to Settings and view "Current Balance" in the Credits section.


Can I get a refund for unused credits?


Contact support for refund inquiries. Credits are generally non-refundable but exceptions may apply.


Clubs


What are clubs?


Clubs help organize players by group and enable broadcasting to all members at once.


How do I create a club?


Create clubs when:

  • Adding a player (click "+ New Club")
  • Creating an event (click "+ New Club" in club field)

Can a player belong to multiple clubs?


Yes, players can belong to different clubs for different sports. Each club is sport-specific.


How does broadcasting work?


Broadcasting sends invitations to all club members who:

  • Play the event's sport
  • Match the gender filter (if selected)
  • Haven't already responded

Player Ratings


How do I rate players?


After an event date passes:

  • Open the event details page
  • Scroll to "Rate Players" section
  • Rate each player (1-5 stars)
  • Add comments (optional)

Can players see their ratings?


No, ratings are only visible to organizers. They help you make informed decisions when selecting players.


Can I edit ratings?


Yes, open the completed event and modify star ratings or comments. Changes save automatically.


Technical Issues


The page won't load

I can't log in


  • Verify email and password are correct

Does PlayerPing work on mobile?


Yes, PlayerPing is mobile-friendly and works on smartphones and tablets.


Can I use the contact picker on mobile?


Yes, Android devices support native contact picker. iOS users can use the paste method.


Is there a mobile app?


Currently, PlayerPing is a web application accessible through mobile browsers. A native app may be available in the future.
